Planning your assignment
Scope, organisation, budget and deliverables: the essentials before commissioning a HOSPIRIS audit.
Which properties does HOSPIRIS work with?
HOSPIRIS works with independent hotels and hotel groups, as well as river and ocean cruise companies, holiday resorts and outdoor hospitality operators. Non-hotel assignments are quoted according to the journey to be assessed.
How should we choose between Express, Standard and Premium?
Express is designed for a fast, focused diagnosis. Standard provides an in-depth view of the main touchpoints. Premium includes the full Standard scope and adds online reputation analysis, competitive positioning and more extensive reporting. The right package depends on the decision, the number of services to test and the detail required.
Who conducts the audits?
Assignments are conducted by HOSPIRIS consultants who may act as mystery guests. Their profile is selected according to the property, guest segments and scenario. Their identity and photograph are not disclosed, preserving their ability to undertake future assignments.
Will staff know that an audit is taking place?
A mystery visit observes the experience in conditions that are as natural as possible. Management may know the assessment window without disclosing the evaluator’s identity or exact scenario to teams. The approach is agreed during scoping.
What can an assessment scenario cover?
The scenario may begin with research or booking, then cover arrival, accommodation, dining, activities, additional services, a special request, a complaint and departure. It can also combine website, phone, email, in-person and post-stay interactions.
How long does an assignment take?
A focused diagnosis usually includes a test stay of one to two nights. A deeper assignment may require three to five nights, several visits or several properties. The complete timetable also includes scoping, immersion, analysis and delivery.
What does management receive?
Depending on the package, deliverables include an executive summary, detailed report, a HOSPIRIS professional assessment based on its technical assessment forms, a PowerPoint presentation and a prioritised action plan. Findings are placed in context and accompanied by practical recommendations.
Can the results be presented to the executive committee?
Yes. An on-site or remote presentation can share the evidence, explain priorities and guide decisions with management and operational leaders.
How is confidentiality protected?
Information is used solely for the assignment. The property’s identity, internal documents and results are never published without written permission. Reports focus on observable facts and avoid unnecessary naming of employees.
Are accommodation and travel costs included?
They are separate from professional fees unless the quotation states otherwise. Accommodation, meals, travel, local transport, parking, tourist tax and scenario-related expenses are agreed in advance and invoiced at actual cost against receipts.
Can you measure Wi-Fi quality precisely?
Yes. Optional advanced measurements can cover availability, stability, speed, latency and perceived quality in key guest areas. The protocol is adapted to the property and to guests’ actual usage.
Can HOSPIRIS help with tour operator distribution?
Yes. Alongside the audit, HOSPIRIS can support the property’s positioning and commercial presentation to leading tour operator networks in France. The service is quoted according to markets, contacts and objectives.
Can several properties be compared or progress tracked?
Yes. One shared protocol can compare sites, or recurring waves can form an ongoing benchmark. A one-off audit may be repeated every twelve to eighteen months; for a network or improvement plan, frequency is adjusted to seasonality, priorities and the pace of action.
How does a mystery audit differ from review analysis?
Reviews spontaneously express what some guests remember. An audit follows a defined journey, tests comparable situations and documents each stage. The two approaches complement one another: reputation highlights perceived issues, while the audit helps explain their operational causes.
Can the recommendations support staff training?
Yes. Findings are linked to observable behaviours and processes: welcome, service knowledge, clear communication, coordination, request handling and service recovery. They can inform briefings, workshops, training materials and follow-up assessments.
How do we obtain a proposal?
A first conversation clarifies the property type, objectives, touchpoints, preferred period and deliverables. HOSPIRIS then provides a detailed quotation covering scope, timetable, fees and estimated incidental expenses.
